Cataloguing

As mentioned under “Lodgement”, the scanning of the FILE barcode correlated with the customer’s file identifier creates a numerical computerised catalogue of files held.

FILE can also provide a cataloguing service for files under parameters required by the customer, without limitation on the number of fields.

This cataloguing task can be carried out on the customer’s premises or subsequent to the files being received at FILE’s premises.

The resultant catalogue can be made available in hard copy, on CD/DVD or posted on a secure dedicated website.

Destruction

Secure confidential destruction of paper records is offered by FILE, using environmentally friendly methods followed by recycling.

FILE can provide schedules of documents due for destruction on set dates. Documents scheduled for destruction can be either retrieved from FILE’s shelving (if already held) or collected from a customer’s premises.

No destruction is carried out without written authorization from the customer.

On completion of the destruction process, a Certificate of Destruction is produced and forwarded to the customer.

Cost Allocation

To enable a customer to recover storage and management costs at divisional or customer level, FILE can perform cost allocation of all charges levied. This allows for a “user pays” regime to be implemented by the customer.
